Position Description - Responsibilities and Requirements:

The Administrative Coordinator is responsible for managing a variety of tasks that are critical to support the ongoing operations of Centennial Park Conservancy, including:

Donor/Member Management Support

  • Enter transactions and maintain donor/member database utilizing NEON customer relationship management software

  • Write, print, and mail ongoing correspondence, including membership renewals, donor acknowledgement letters, and other communication materials; maintain mailing lists; work with printer on outsourced projects including newsletters, invitations, and other print elements; manage RSVP lists for various events; work with Executive Director on communications to retain and attract members; create reports as needed

Other Fundraising Support

  • Work with gala committee to support the organization’s annual gala, including: managing solicitation mailings, recording and acknowledging donations, ensuring proper recognition in print and digital materials; perform other gala tasks as needed

  • Support for the organization's Capital Campaign by tracking pledges, acknowledging payments, and handling other tasks as needed

  • Work with Executive Director and Marketing Coordinator on annual fundraising campaigns, including: Spring Campaign, Big Payback, Giving Tuesday, and Winter Campaign

  • Compile support materials for grant applications; assist in writing narratives for grant applications as needed

Board Liaison Support

  • Serve as a liaison to the board of directors; assist in planning and management of board and committee meetings, including developing agenda, gathering materials, scheduling meetings, managing attendee lists, ordering catering, taking minutes, surveying board; manage other board-related tasks as needed

Financial Management Support

  • Scan checks, make bank deposits, print checks through QuickBooks (for those that are not electronically processed), and support part-time Bookkeeper as needed

  • Maintain physical records of revenue, expenses, statements, and other financial reports

Office Management Support

  • Answer phone and greet visitors; maintain office filing and administrative records; pick up and distribute mail; perform other office management tasks as needed

  • Update Annual Registrations, including: Giving Matters, Corporate Annual Report, TN Charitable Solicitations Permit, PCI Compliance, and SAM

Parthenon Volunteer Support

  • Recruit, train, schedule, and track volunteer greeters at the Parthenon

  • Schedule and track two weekly architecture tours at the Parthenon

  • Collaborate with Parthenon staff on management of docent program


  • Proven expertise working in a nonprofit organization and managing communications with board, donors, and members utilizing a CRM donor database
  • Strong organizational, project, and time management skills; exceptional accuracy and attention to detail; ability to perform and prioritize multiple tasks seamlessly
  • Exceptional written and verbal communication skills
  • Experience managing sensitive and confidential information with discretion
  • Self-starter and team player who works collaboratively to achieve mutual goals
  • Strong knowledge of computers, including Microsoft Office and Google Drive programs
  • Availability to work evenings and weekends as needed for special events
  •  Ability and lift up to 40 pounds
